What Is a Letter of Inquiry?

A Letter of Inquiry is a formal document used to request the recipient to send specific information. Whether you are writing on behalf of the company to learn more about the other business' merchandise or you are a customer who wants to know about the advantages of the new product, a Letter of Inquiry will offer you a chance to receive a reply from the person who understands the issue at hand best. You will be able to get a job or develop new business opportunities if you ask the right questions and show your interest in the recipient's affairs.

How to Write a Letter of Inquiry?

There is no uniform Letter of Inquiry format. However, since most inquiries are submitted to organizations and you might have a professional relationship with them afterward, remain professional and polite. If you choose to print out a letter, use letterhead and include a proper salutation and conclusion. Here are some other tips on how to create an effective Letter of Inquiry:

  1. Introduce yourself and indicate the reason for writing. Most Letters of Inquiry are short - you only need to ask a question, request the recipient to send you files, or describe their products and services. Your concern or issue might be urgent - in this case, ask the recipient to provide you with feedback within several days or weeks. It is recommended to list questions you need answers for - the recipient will give you their answers in sequence.
  2. When writing a Letter of Inquiry, especially if you think the addressee receives a lot of correspondence and may ignore some of the letters, you need to provide the recipient with an incentive to reply - for instance, you may tell them that you are willing to sign a contract with them but you have to know more about their product, and until they send you a formal statement that addresses your concerns, you cannot move forward with your business proposal.
  3. If you want a nonprofit organization or fund to sponsor your entrepreneurial endeavors or scientific studies, you may complete a Letter of Inquiry (grant application). Describe your achievements up to the present moment, share your plans for the future, and explain why you require additional financial support.
  4. In case you are looking for a job, a Letter of Inquire may also attract the attention of the prospective employer. Typically used when there are no open vacancies on the company's website, this document will allow you to introduce yourself to the employer, list qualifications and skills that will make you a great employee, and enquire about potential openings that may be suitable for your academic and professional experience.
  5. Enter your contact information so that the addressee knows how to reach you. Date the letter and sign it. While you may send the document via traditional mail, it will be easier to use email - you will save time and money, and the response can be much quicker.
