What Is a Petition Letter?

A Petition Letter is a written statement prepared by the individual or organization to persuade the addressee to take a certain course of action. Whether you are drafting a Letter of Petition to your educational institution, employer, or public authority, it is a good idea to express your dissatisfaction with the current situation and ask them to make an effort to resolve the issue.

There is no uniform Petition Letter format but at a minimum, you need to greet the recipient of the message, introduce yourself and explain your issue, request, or plea, tell the letter reader what you expect them to do for you or on your behalf, attach the documentation that proves your point, and record your contact details to facilitate further communication. If several people are affected by the issue, all of them should sign the letter to add more weight to it.

How to Write a Petition Letter?

A Letter of Petition consists of two lists - a list of suggested actions (the content of the petition) and a list of people's signatures. There are two kinds of petition letters: a paper petition and an internet petition. Internet petitions have more force as there are more people that can observe and share the petition and they usually don't need official confirmation. The Petition Letter format is standard and usually consists of the following.

  1. The title of the letter and the current date.
  2. Organisor's contact information: the name of the organization (if the letter is collective), name (if the head of the petition project writes on their own behalf), address, email, telephone number.
  3. Recipient's contact information: the name of the addressee or the name of the organization address, email, phone number.
  4. Salutation.‌ ‌You‌ ‌have‌ ‌to‌ ‌write‌ ‌the‌ ‌name‌ ‌of‌ ‌the‌ ‌person‌ ‌the‌ ‌letter‌ ‌is‌ ‌directed‌ ‌to.‌ ‌If‌ ‌you‌ ‌do‌ ‌ not‌ ‌know‌ ‌the‌ ‌name‌ ‌of‌ ‌the‌ ‌person,‌ ‌you‌ ‌may‌ ‌write‌ ‌"Dear‌ ‌sir/madam"‌ ‌or‌ ‌"To‌ ‌whom‌ ‌it‌ ‌ may‌ ‌concern."
  5. The first part of the petition - the subject matter of the letter. Here you have to write the details and reasons for the petition and the request itself. It is advisable to divide the text into paragraphs.
  6. A closing. Here you may express your hope for a response from the recipient. After the main part of the letter assure the addressee of your availability to answer further questions if there will be any.
  7. The name and signature of the head of the project or of the leader of the organization.
  8. The second part of the petition - the signatures of the people who supported the petition. These signatures have to be presented on the other list. Firstly you may indicate in numbers how many signatures you received, after that, you have to provide the list with signatures (usually those who sign the petition leave their personal information like name, telephone number, and email).
