What Is a Letter of Reprimand?

A Letter of Reprimand is a legal document that can be used by an employer when their employee performs a wrongful action. The purpose of the document is to provide the employee with information about their misbehavior and notify them about the punishment that will be applied to them. A Reprimand Letter can be used in different circumstances. In addition to the employment relationship, it can also be used in the Army with military personnel, during the education process with students or teachers, etc. For example, an Army Letter of Reprimand is supposed to be used by the U.S. Department of Defense when their employee or a service member commits misconduct. A Letter of Reprimand for disrespect can be used in any organization where an individual has insulted someone or performed any other misconduct that is considered to be disrespectful behavior.

Letter of Reprimand Types

  1. Generic Letter of Reprimand. Use this short template to issue a formal warning to the employee who may have misbehaved in the past - if other forms of disciplinary action have failed. Tell the employee what they must do or what they need to abstain from in the future and confirm your preparedness to fire them if a similar offense occurs.
  2. Sample Army Letter of Reprimand. Completed to discipline a service member who has demonstrated unacceptable conduct towards other service members or private citizens, one copy of this letter is delivered to the service member and the other is kept in the administrative records to make sure this conduct is prevented in the future. Additionally, you should include references to army regulations and handbooks that forbid the behavior demonstrated by the service member.
  3. Sample Letter of Reprimand for Unprofessional Conduct. This document will be helpful as a reference for a human resources department representative that decides to customize their own message to the employee who has shown disrespect to their colleagues or the boss disrupting the peaceful atmosphere in the workplace. You can tell the employee they have several weeks to apologize to their coworkers and improve their behavior otherwise you will be forced to raise the question of employment termination.
