How to Write a Fire Incident Report?

Here is how you should fill out a basic Fire Incident Report Form:

  1. Indicate the date the report was prepared and the name of the individual responsible for writing it. If someone else was in charge of the fire drill or you are drafting a document to detail the actions of the company personnel, name the person who oversaw the event bearing responsibility for the people around them.
  2. Write down the date and time of the incident or drill. Be precise with the location which is crucial if you are describing the events that took place in a big building - list the floors or departments that were involved.
  3. Confirm whether the fire alarm was sounded and whether people in the vicinity heard it.
  4. Elaborate on the areas of the facility that were affected by the fire. You may provide a brief description of the situation and mention the damage inflicted upon the organization. The narrative you offer must be concise and clear, avoid vague wording.
  5. If there were any injured people or victims of the incident, you have to write down their names and contact information, including the emergency contact details they provided to you.
  6. Certify whether the evacuation of the areas was completed without any difficulties. You should add your remarks in case anything prevented you from a safe and quick evacuation.
  7. Evaluate the effectiveness of the drill or response to an actual fire incident. You may simply say it was satisfactory or unsatisfactory or use a scale from 1 to 10 to demonstrate whether the personnel of the organization and other people you are responsible for were ready to deal with an emergency situation. Assess the response of the staff and visitors separately since you do not provide training to individuals that are not at the facility every day, explain whether the personnel was familiar with their responsibilities, specify the promptness of the evacuation and the effectiveness of fire safety protocols you have established in the past, estimate the communication during the incident or drill.
  8. Once the report is finished, you need to sign and date it. If you were asked for remarks by a fire department, you may send this document to them, or simply keep it in your internal records.
