Church Meeting Agenda Template

A Church Meeting Agenda is a great way to keep a meeting organized and structured. Not only does it provide the opportunity to keep members interested and engaged, it can be a great tool to prepare volunteers.

A standard Church Business Meeting will usually involve lots of discussion, focusing on what has been achieved, evaluating performance and looking into the future to see what further things should be focused on. The purpose of a Church Meeting Agenda is to structure all of these various parts of the meeting appropriately, ensuring that all important points are discussed and nothing is left forgotten. It should also contain information regarding the location, time and date of the meeting. The outline of an agenda for a church meeting should contain all of this information. Usually, it also provides information regarding church meeting minutes and the person responsible for this. The individual that has this responsibility should take notes during the meeting and then hand them out to individuals that were present (for them to sign) and delegate a copy to those that could not attend the meeting.

How to Write an Agenda for a Church Meeting?

There is a specific Church Meeting Agenda format that needs to be considered before filling in the agenda. Make sure that you include the following points when you sit down to write:

  • Make sure you state where the meeting will take place. This is usually in the church itself;
  • Clearly note the date and time of the meeting;
  • Now you should clearly state the various topics that need to be discussed. Of course these will vary from meeting to meeting, but generally you should always start with the 'Call to Order' and note down who will open up the meeting;
  • The next section should mention who will be responsible for noting down the people that are present and those that are missing;
  • After this, you should provide details of who is responsible for the recap of meeting minutes from the last meeting;
  • Introduce the main topics of discussion for the current meeting. If anything needs to be modified for any reason, this should be done at this point;
  • Provide any relevant reports that could be of importance during the meeting. This could include reports from schools, a priest or by the business management team;
  • If there are any other additional things that need to be discussed but do not fall into any of the points above, they should be briefly outlined;
  • Provide information on who will lead the conclusion of the meeting and the format in which this will be done by.

How to Conduct a Church Meeting?

Conducting a Church Meeting may not be as daunting as you think, particularly if you have the Church Meeting Agenda on hand which tells you what needs to be discussed. Apart from discussions, there are other common practices involved in conducting the meeting. We have outlined some of the most important top tips for you to consider:

  • Even though the chairman of the meeting usually opens the meeting, this is usually followed by a prayer from the priest. The same applies for concluding a meeting;
  • Ensure the meeting starts and ends at the time specified. Do not wait for any later comers, it is disrespectful to those that arrived on time;
  • Follow the agenda - it is important not to get sidetracked. If any other important issues arise, it is best to discuss these at a later date;
  • Ensure there is an individual taking notes during the meeting which can then be signed by the individuals that were able to attend and can be sent out to those that could not make the meeting.
