How to Write a Press Release for an Event?

Writing a Press Release is a time-consuming process, however, the output from the viewers that a business will gain after producing an effective text is worth it. It's important to keep the document short and simple. The general Press Release format consists of the following parts:

  1. Headline. The first part of any event Press Release must be short and eye-catching so that readers would like to learn more about the upcoming event.
  2. Lead Paragraph. The writer must state when and where an event will take place. It should contain the date of the event and full address, including state, city, street address, and any other details that will help visitors find the place on time.
  3. Summary. This part is supposed to give a reader a short description of what to expect from the event. This is sort of an introduction to the main body of the text, where the writer will give detailed information about the event.
  4. The Event. This is the main body of a document, where the writer must provide most of the information about the event. Invited speakers, main topics, assigned lectures, special guests, gifts, and other things that readers might find interesting should be mentioned here. The main body is the largest part of a text and most of the time after reading this part people will make up their mind about whether they should visit an event or not.
  5. Boilerplate. Use this section to provide information about the company. It can include the name of the company, its location, description of the business or services provided by the company, their mission or main working principles, etc.
  6. Contact Information. In the last part of a text, the writer should provide contact information of their company (including the company's official website), as well as the phone number and email of a person responsible for public relations.

The writer can change the format depending on their needs. For example, they can add the logo of the company to it, or move information around the Press Release and put the contact information at the beginning of the document.

How Long Should a Press Release Be?

There are no restrictions about the length of a text, however, writers should be concise. How long a document should be depends on the event it is dedicated to. An average document should be no more than one-page long or contain about 400 words. The writer shouldn't overload the announcement with too much information. A Press Release is a short document and four or five paragraphs will serve its purpose perfectly. Documents that are too long are likely not to be read until their end and left aside.

How to Submit a Press Release?

When considering Press Release distribution, businesses find it most convenient to send out documents over email. But before starting the process, the writer must find members of the press that will be interested in their offer. To do so, they can browse through information resources dedicated to their sphere.

After finding journalists who write about things similar to their business, the writer should get their contact details and send them their text. To make sure that their document will be published, the writer should support it with a short description of why their document is worthy of attention. If a writer is specific enough, they will receive a positive outcome and their release will be published.
