How to Write a Payment Request Letter?

The document can be sent to the client by mail or by email, whatever is more convenient for the business. Make sure that your Payment Request Letter includes the following parts:

  1. Information About the Requestor. In the first part of the document, the business that is requesting money can designate their name, location, and the name of the person that can be contacted regarding this matter. They should also state their contact information, such as telephone number and email.
  2. Information About the Client. Businesses use this part to enter information about the client that they are addressing for identification purposes. It includes their name, address, email, and reference number (if applicable).
  3. Request for Payment. Here the business can request that their client make the payment that is past due. They can also enter the details of the payment, such as the amount of money that should be transferred, the contract requisites under which the client is supposed to pay, and the date when the payment was supposed to be made.
  4. Payment Information. In order to make it more convenient for the client, the business can provide information on how to transfer the payment. They can list the ways their client can do so (for example, online, by check, or by cash) and provide the essential details, like the account number, bank name, etc.
  5. Request of Proof. A polite Request for Payment Letter should include the part where the business requests the client to send proof that the payment has been transferred which can be presented by an appropriate banking document. If the payment has been transferred on time, then the client should provide proof as well in order to check if a mistake occurred.
  6. Possible Consequences. The business should warn their client about the possible consequences that might be applied if the payment won't be transferred within the new due date. For example, the business can charge their client a late payment fee worth 5% of the payment that was supposed to be transferred.
  7. Conclusion. In the last part of the document, the business should express their hopes to work with the client in the future and sign the letter. It will state that the information in the letter is true and valid.
