A Thank You Letter is a formal or personal statement used to express gratitude. A job interview that went well, a significant donation to an honorable cause, a valuable lesson that immensely helped you during your studies, or financial assistance you received from the college or a generous individual - all these circumstances should lead to writing a Thank You Letter. How to Write a Thank You Letter?

  1. You may send an email to the person or company you want to thank but a handwritten note will definitely have a more profound effect. However, both options are acceptable nowadays so it is up to you - an email, surely, will save you time and money. The letter does not have to be too long, especially if you do not know the recipient closely, but if you write to a long-time friend or a teacher you have had a great relationship with, you may fill out several pages and even share the latest news and developments if you have not been in contact for a long time. 
  2. If you prepare a note for an individual you do not know personally or an organization you depend on, keep the tone of the document formal and polite. Obviously, even a professional Thank You Letter will contain emotions and feelings, but do your best to remain calm and reread the document several times to make sure it is appropriate - do not overstep any boundaries.

  5. End the letter by once again saying how grateful you are. Add your contact details if you need to stay in touch with the recipient - you may invite them to reach out whether it is a job opportunity or just a wish to remain in contact with someone dear to you. 
  6. Sign the document and send it to the recipient. While a Thank You Letter you send to a potential donor or employer should be sent within days of your last communication so that they remember who you are, a personal note can be sent months and years after you last talked to your mentor, teacher, or friend - whenever their influence on your life makes itself known.
